Precheck & Gatepass

A digital pre-arrival workflow that prepares truck visits before they reach the warehouse, reducing manual work during gate check-ins.

Too much was happening at the gate

Checking a truck in required guards to collect and verify information about the truck, trailer, driver, carrier and movement while the vehicle was already waiting at the gate.

Every missing detail or mistake added more time to the process. The opportunity was not just to make data entry faster, but to move as much of it as possible away from the gate.

Moving the work before the truck arrives

I designed Pre Check to move information collection before arrival, so guards could spend less time building movements at the gate and more time verifying what had already been prepared.

Preparing before arrival

Dispatch prepares the expected movement before the truck reaches the yard, then sends the driver a six digit Gatepass through SMS, WhatsApp or email.

At the gate

When the driver arrives, the Gatepass retrieves the prepared movement so the guard can verify the information and complete check in.

Spending less time at the gate

Moving data entry before arrival significantly reduced the amount of time needed to process trucks when they reached the yard.

75%Reduction in check-in and check-out time

Before Pre Check, the process could take around 20 minutes per vehicle.

“Using Prechecks, the time dropped to less than 25% of what it used to be.”

What if check in didn't need a guard at all?

Pre Check reduced how much work happened at the gate, but completing a movement still depended on a guard being there to retrieve, verify and complete the check in.

The next step was to explore how that remaining work could happen automatically.

Automated Gate check in flow: the driver arrives, scans a QR code or calls, talks with the AI agent, verifies their identity and shares truck and trailer details. Cameras capture the vehicle, the driver uploads a seal or interior photo based on trailer status, and the gate opens with parking instructions.

Starting check in from the driver's seat

Instead of waiting for a guard, the driver scans a QR code at the gate to start check in. An AI agent then guides them through the information needed for the movement.

Verification happens in the background

While the driver completes check in, gate cameras read the truck and trailer numbers and compare them with the information provided to the AI agent.

Verifying the trailer

The system also needs evidence of the trailer's condition. If it's loaded, the driver provides a seal photo. If it's empty, they provide a photo of the trailer interior.

From design to the yard

Automated Gate brought the driver experience, AI, cameras and physical gate controls together into one check in flow.

Key Learnings

  • Working on Pre Check taught me to look beyond improving existing processes and explore better ways of solving the problem.
  • Automated Gate helped me improve how I collaborate with engineers, understand technical constraints, and work together to bring complex solutions to life.
  • Collaborating on the Spline animations taught me how motion and visual storytelling can make complex experiences easier to understand.
